    Policies & Rules for All Swaps ~ Please Read!

    New Swap Policies~ Please Read!

    Beginning June 1st the following policies will be in effect for all swaps hosted in the Contest & Events forum.

    1) Signing up for a swap:
    If you sign up for a swap you are agreeing to follow all of the rules of an individual swap & the policies set forth here. These include checking in with the host when you contact, send, & receive your packages in the correct thread as well as meeting all deadlines and budgets set by the swap host. All swap info will be on page 1 of the thread.

    2) Deadlines:
    Each swap host outlines the package ship deadlines for his/her swap. By signing up you are agreeing to send your package by this date!! The deadlines must be adhered to. There will no longer be the option to extend the deadline by agreement between partners. Any late shippers will be added to a “slow swapper” list for 180 days. If an individual is placed on the list twice within any 6 month period they will then be placed on probation and not allowed to participate in swaps for the following 90 days. No allowances will be made to this policy. We do realize stuff happens even to the most organized of us. An illness, an emergency, an unexpected bill can impact our best laid plans. This is why we elected to go with “slow swapper” and it taking two separate events to add one to the probation list. The key is to communicate between partners & swap host so a name isn’t moved to the Bad Swapper List.

    Everyone is required to post in the swap threads at least 4 times:
    1) signing up for the swap
    2) when contact is made with your assigned partner
    3) when your package is shipped to your partner
    4) when you receive a package from your partner


    3) Budgets:
    Each swap sets their own budget & each swapper is expected to spend at least the minimum amount. If you elect to spend more on a partner’s package that is up to you as an individual, but your partner is not expected to do the same. The budget does NOT include postage.
    Recently more complaints have been lodged concerning package contents. We have no way of policing contents between swappers. By signing up to swap with someone you don’t know you do need to be aware there is a chance you won’t be thrilled with your package. You may also love everything you get & make a lifelong friend.

    4) International Partners:
    We are aware international shipping takes time & costs more. If you agree to swap internationally, be prepared to wait for your package & be prepared to faint at the post office when they tell you how much your package costs to send. LOL Each swap will give you the opportunity to decline or accept swapping internationally during sign up. International partners are given extra time before being placed on a bad swapper list as packages do take time to arrive. They are however expected to follow the shipping deadline. It is YOUR responsibility though to contact the swap host when your package does arrive.

    5) Bad Swapper List:
    If a partner fails to send a package the name is forwarded to me by the swap host. The name is then placed on the Bad Swapper list and this person is banned from participating in all future swaps or events in this forum until the situation is resolved. I do contact them to try to help rectify the situation & be sure the information I have is correct. The only way a name is removed from the list is to send a package. Yelling at the Forum Host won’t help anyone get their name removed from the list.
    We have had successes in the past. Many times though this does nothing for the current partner. It does however prevent someone else from being burned by the same swapper.


    6) Dropping Out of a Swap:
    If you see that for some reason you will be unable to participate and need to remove yourself from a swap there is no penalty for doing so as long as you contact the swap host before partners are announced. Dropping out after partners are posted results in being placed on the Slow Swapper List.

    Why the changes?
    I have been working with past swap hosts on their experiences & suggestions over the past few months. The new policies you see here are the result of those meetings. The biggest frustration for all of the hosts has been the length of time the swaps are taking and the endless checking they are having to do. Some are spending months following up on a swap. A swap is meant to be a short term commitment for the host. We need to remember these are volunteers who are giving their time to organize a fun event for others. Swapping should be fun for them as well. There has also been an increase in failed swaps and disappointed swappers which is unfair to those who are sending their packages in good faith. The group elected to enforce the changes you see above to make swapping a better experience for everyone.

    I truly believe the majority of our swappers are already following these common sense expectations. This is meant to be a reminder so swaps remain a treasured tradition. Let’s set a goal to make every swap here a 100% success and fun for all parties. icon_biggrin.gif icon_biggrin.gif

    Hosting a Swap:

    So how do you plan & host a successful swap? Who can host? Where do the ideas come from? What are the “rules”? icon_lol.gif

    Who Can Host: Any member in good standing can host a swap. All you need is a good idea & the time to organize it. It does take commitment and time. You are responsible for the good experience others have during the swap and want to assure each person receives their package. Organization helps. =)

    Where do the Ideas Come From?: From the swap host & the members.

    What About My Idea?: I do ask that you contact me before opening your swap. If everyone does this I will be able to tell you how many other swaps are scheduled during your time frame and if someone else is already working on that particular swap idea.

    Tips:
    Sign Up Threads: Please only have ONE thread for sign ups and do avoid "pre-signups". It really does get confusing! It is fine to open a promo thread before your swap begins.
    Page 1:It makes it so much easier for your swappers (& me) if you have all info pertaining to your swap on page 1. Things to include are:
    1) item(s) to be swapped
    2) budget (NOT including postage)
    3) all dates & deadlines to be followed
    4) the partner list
    5) a link to the forum swap policies (this thread)
    The matched partner list should be on page 1 and the list be edited as the swap progresses. Remember most readers are not going to go through the whole thread. Clearly marking international swap partners with a {I} will help. Also, a reminder to post as packages are received helps you in closing out the swap.
    Closed: Please edit your first post & insert CLOSED into the title of the thread after the sign up period is over. It prevents a lot of confusion.
    Edit Thread Title: Please edit your thread titles as your swap progresses. This includes 1) Sign Up, 2) Closed, 3) The Ship by Date, and 4) Completed.
    Matching Partners: To make it easier for partners to contact each other, it is helpful if at least one of them has premium membership. Pairing two non premium members results in extra work for the host or having to post email addys in the thread.
    Questionnaires: Are optional and up to the swap host, but have proved helpful in matching partners.
    Rules & Deadlines: These are set by the individual swap hosts. Some swap hosts prefer to limit the numbers of swappers for example. That is up to the swap host. However once a deadline has been set it cannot be changed or adjusted.

    BAD SWAPPER LIST:
    This is not fun, but we hope to prevent people being repeatedly burned by a bad swapper. icon_cry.gif If a member signs up for a swap they are expected to follow through. I look for the swap hosts to inform me if they have a swap uncompleted. I will then contact the member and do what I can to help. If a name is placed on the bad swapper list the member is ineligible to participate in future swaps and events in this forum until the situation is resolved. The purpose is not public embarrassment, but to get swaps completed. I do go through the sign up before partners are announced and inform the host if someone is on the list.

    Swap Promotion: Your swap will be posted on the monthly calendar as soon as I know about it. (I will not reveal the details until you announce the swap yourself.) Also it might be helpful to post a link to your swap in CC the first few days of sign up & the last few days. If you choose to do this I recommend just posting a link so you are not having to watch sign up in 2 threads.

    The following was written by Bert's Kitchen Witch during our recent swap host discussions. I thought it would be nice to share it here.

    What is expected from a swap host?

    1. It is a Swap Host's responsibility to be fully aware of the Forum Terms and Conditions of a Swap. And to list them CLEARLY on his/her sign up page.
    2. It is a Swap Host's responsibility to make each and every
    participant feel welcomed and appreciated.
    3. It is a Swap Host's responsibility to match partners clearly, and keep up with the participants posts regarding their contact with each other.
    4.It is a Swap Host's responsibility to encourage clear and consistent communication between partners. It is NOT a Swap Host's responsibility to go too far out of their way to "chase down" unresponsive participants
    5. It is a Swap Hosts responsibility to set a CLEAR guideline for spending amounts for the Swap. It is NOT the Swap Hosts responsibility to make sure each participant follows the guideline exactly.
    6.It is a Swap Host's responsibility to be CLEAR about the subject of the swap, and give examples of appropriate swap items. It is NOT a Swap Host's responsibility if participants do not send the appropriate items or if someone is unhappy with their "gift".
    7.It is a Swap Host's responsibility to set a CLEAR deadline for packages to be mailed.
    8.It is a Swap Host's responsibility to monitor her thread for updates on communication, mailings, and receipt of swap packages.
    9.It is a Swap Host's responsibility to update and list that
    information in a timely manner.
    10. It is a Swap Host's responsibility to follow through on the swap until completion, and post such information.
    It is NOT a Swap Host's fault that some participants never follow through, all the Host can do is stay in touch with the "injured" party of the swap, and express their concern and sorrow that the participant had to experience such.
    11. It is the Swap Host's responsibility to keep Susie D. or the current Contest & Events Forum Hosts informed of any "negative" posts and/or events occurring in the swap, so that they are aware of the problem occurring.
    12. It is a Swap Host's responsibility to encourage participants to "play nice", and follow the rules.

    Watch this forum for coming swaps. They will be at the top of the forum during sign up. Read page 1 of the swap & then decide if it is for you. icon_biggrin.gif

    Watch the top of this forum for new swaps.
    There are usually 4 new swaps each month and will have a "sticky" on them so they stay at the top during sign ups.
